The Process

Analysis

Interview: During an interview with the Director, he expressed concerns with their onboarding program. Their team is small and any time that they spend training takes time away from other tasks. The Director also explained that the current team members were very familiar with the organization before they joined the team. However, there is a great need to grow the team, and new members will likely have limited knowledge of the organization. Next, I met with the team’s supervisor to review the existing onboarding process.

Observation: I requested copies of the existing training materials and reviewed these documents. Then, I observed trainings of new team members, during which I took thorough notes. I was especially attentive to how much time was required for each part of the training and how much information was presented about the organization itself.

Reflection: Each new team member received an 8 hour training with the team’s supervisor. This prevented the supervisor from completing other important duties during this time. The supervisor’s schedule determined when new team members could receive training and begin working. Additionally, there was a limited amount of information presented about the organization specifically.

Design

Research: I thoroughly researched the mission and history of the organization. I searched for all available information online (through their website and Youtube channel), and I requested specific documents for more information. I spoke with the Director to determine what information about the organization’s story is most important for new volunteers to be familiar with.

Outline: I developed a proposal recommending which parts of the onboarding process should be replaced with independent eLearning, including the course about the organization. I also outlined the objectives, content, and assessment for the course.

Communicate: I presented my proposal to the team’s supervisor for feedback. She had been leading the majority of the training sessions and agreed that revamping the process, as I proposed, was a great solution. Then, I presented these outlines and a storyboard to the Director. He gave me approval to proceed with development.

Next Steps

I am currently finishing the development of the course. The course will be completed by every new hire in order to prepare them to share the organization’s story with visitors. It will also be made available to all new and existing volunteers as an informational resource. In addition to the how-to video that I created to teach new volunteers how to sign up for shifts, I am developing other informational videos focused on tasks that new volunteers complete.
